Mailbox Project Updates

Current Work FAQs

Q. What streets have been worked on?

A. These streets have had their posts/mailboxes replaced (listed in the order work was done)

  • Cambridge Rd
  • Princeton Rd
  • Loyola Dr
  • Cornell Rd
  • Cornell Bay
  • Cornell Cir
  • Princeton Bay
  • Princeton Ct

Q. What streets are left to be done?

A. A few of the cul-de-sacs are left

  • Highland Bay
  • Highland Cir
  • Highland Ct
  • Cambridge Alc

Q. When will work be complete?

A. We do not have a firm completion date. At this point, weather will be a determining factor in project completion. Crews will not be able to do the hand digging near buried utilities if there is rain, or other inclement weather.

Q: How will I know that my street is being worked on?

A: The Association is sending email notices to those Lot owners who've provided them. Postcards are being delivered to properties who have not provided an email address informing them of mailbox work on their street.

Q: What do I need to do prior to installation?

A: MARK SPRINKLER heads located near the posts when you are notified that work is starting on your street. If you have a LOCKING MAILBOX, you must arrange access to it for our contractor's to install the mailbox. The HOA will coordinate this for you and can be onsite as your proxy if you cannot be present when your mailbox is installed.

Q: Will I get mail while this work is done?

A: Yes, your mailbox will be mounted on a temporary support to allow mail delivery until the new post installation is done.

Q: How will I know my installation is complete?

A: A black metal weed guard will be wrapped around the post base and a black metal post topper will installed on each post. but they haven't arrived yet so it may be a few weeks before they can be installed. Finally, the cut ends of the crossbeam supports will be stained.

Q: Where did the project work start?

A: We are working out logistical issues for the removal, build, and installation process at a 3-stop and 4-stop mailbox group on Cambridge Rd. near the intersection of Princeton Rd/Highland Blvd/Highland Cir. first. When those mailbox groups are finished, work will start on Princeton Rd. replacing the most damaged mailbox groups first. We will publish the schedule beyond that as it become available.

Q: When did work begin?

A: Construction began on Thursday, August 28 after 811 gave the approval to begin work without markings because the new posts will be installed between the curb and where they are located now.

Mailbox Project Timeline

project Updates

10/14/2025: Work stops due to rainy weather making it unsafe for crews to hand dig near utilities.

10:13/2025: Princeton Bay finished

10/7/2025: Work begins on Princeton Ct. & Bay

10/6/2025: Cornell Rd, Bay & Circle finished.

9/30/2025: Post toppers approved and ordered.

9/28/2025: Corrections made to a few mailboxes installed out of order as notified by the Post Office.

9/27/2025: Work starts on Loyola Dr, then Cornell Rd.

9/26/2025: Work finishes on Cambridge Rd. after Xfinity/811 marked utilities

9/11/2025: Work resumes on mailbox builds on Loyola Dr, Cornell, Rd, and Cambridge Rd after being marked by Xfinity and 811. Xfinity's decision on the order in which to mark streets is driving the mailbox build order now.

9/9/2025: 811 crews work to mark utilities on our Lots as mailbox replacement work is scheduled. Work stopped on the  mailbox project when an Xfinity line was cut during digging unbeknownst  to our contractor. The Xfinity line is within the easement and was not  known to 811 (USIC) when the contractor's approval to start work was  granted. FYI, Xfinity's line should be 8-feet back from the street. The  line was located within the easement without Woodbury's apparent  knowledge or approval and would have happened when Highland Village  properties were first built in the 80s and 90s.

9/5/2025: Work ceased when Xfinity lines were cut during installation of a mailbox stop on Cambridge Rd. Real Estate Addix, 811, and Xfinity are working to resolve the mix-up, which occurred because of unknown Xfinity utilities between the curb and mailbox post. Xfinity lines are about 8-inches from the curb.

8/27/2025: 811 cleared the contractor to begin work on our mailbox project and indicated that NO MARKINGS of the work area are needed because the change to our mailbox post design installs the replacement posts within the easement between the curb and where the posts are located now. Real Estate Addix crews begin work on Thursday, August 28. Work will typically begin at 8:00 am and may continue over the weekend.

8/22/2025: The mailboxes have arrived. Work can begin once 811 has marked the rea around the post

8/15/2025: The contractor is waiting on delivery of our new mailboxes to start the project. We will let Lot owners know as soon as we have a firm start date.

7/11/2025: The board met with our contractor, Real Estate Addix LLC, to finalize details of our project. Work is expected to begin in August and should last roughly two weeks. We will send email notices about project timelines and other information regarding this project as soon as we have them. For the Lot owners who have not provided email, we will send notice by U.S.P.S.

Mailbox Replacment Project History

a big project begins

2021 The Association received multiple emails regarding damage to mailboxes and posts caused by Woodbury snowplows. During this time, it was discovered that the original mailbox posts—provided by the builder in the late 1980s and 1990s—no longer meet current U.S.P.S. and City of Woodbury codes.

2022 The topic of mailbox redesign and replacement was formally introduced at the Annual Meeting. An ad hoc committee, the Architectural Review Committee, was formed to evaluate and update architectural guidelines, including requirements for mailbox redesign.

2023 The Architectural Review Committee issued a resident survey, which included a question regarding a potential special assessment to fund the mailbox replacement project. Committee members also met with Woodbury U.S.P.S. staff to discuss mailbox design and installation standards.

2024 Discussions began with contractors to redesign, build, and install compliant mailbox posts. The proposed design was presented at the August Annual Meeting, A vote was held in September approving a Special Assessment for the project.

2025 The Association continued working with the contractor, Real Estate Addix, to refine the final designs and evaluate material options. Invoices are mailed to lot owners.
